Who Uses iSchedule?

Why Should I use iSchedule?

iSchedule makes scheduling employees easier, more accurate, visual and more efficient.

All employee availability details are available online and viewed during schedule creation. The system can be set so only the employees who are available on a specific day, at a specific time, are eligible for scheduling.

Positions can be colour-coded to your requirements and the total number of hours scheduled is updated as the schedule is built, providing live information to act upon.

Payroll is faster and more accurate.

Update the number of actual hours worked on a daily basis and, when payroll day arrives, data is automatically integrated to your payroll system. Because you don’t have to re-enter the information or copy payroll hours into iSchedule, there are fewer opportunities for mistakes.

Communicating with employees is easier, more effective and more efficient.

With iSchedule, employees can update availability, make time-off requests and even swap shifts online which means no more phone calls.

Communication within the system can flag messages so they must be read by employees, with an automatic notification feature. Your staff also has a central location to receive their communications.

Can iSchedule do my payroll?

iSchedule was created, and is hosted, by IBEX Payroll, a Canadian payroll outsourcing company. It can be connected directly to IBEX's web-based payroll system for totally seamless payroll and human resource management. You can, however, use iSchedule alone and do payroll in any way you like. iSchedule just makes it much easier.

How does iSchedule work?

Employees log in to the online system with an assigned password, allowing them to view their schedule, update personal information, post their availability, receive or send messages and access any company documents stored on the system.

Managers log in to the online system with an assigned password, allowing them to manage all the same tasks as employees. They can also build, copy and post schedules, create schedule templates for future use, update actual hours worked, add employees, view and update employee profile information, add documents to be stored for others to access, and access reports.

Who sets up the iSchedule system?

A system administrator at your company can easily set up up the overall organization of the system. The administrator establishes the information customized for your operation such as the hours and intervals the managers want to be able to schedule employees for, statutory holidays for their location, position types and lots more. iShedule can be customized to suit the needs of your company or organization.

How does the free trial work?

Once you sign up for your free trial, you receive full access to the system. You can view the online video demos to learn how to use the system or contact us to get started. We will then contact you within 28 days to see if you want to continue to use the product and confirm pricing details. If you choose to continue with the service, you can pay the fees on a monthly basis with your personal or company credit card. If you do choose to cancel your account in the future you will be billed for the current month and never be charged again. If you choose to not continue with the service after your 30-day free trial, there are no charges of any kind.

Are there any set-up or other fees associated with the free trial?

No, everything is completely free. Our focus is to let you see how well iSchedule works and then you decide the value it brings to you and your organization.

How much work is involved before I can start scheduling?

We have created a number of demonstration videos to help you get started and understand how to use iSchedule. Variables such as how many employees, departments, branches and schedule types you have will all affect how soon you can get going. An average company with 25 employees should be up and running within an hour or so. Remember, we can help you live or via our demonstration videos.

I have multiple locations – will iSchedule work for me?

Yes, because it is web-based, iSchedule can be accessed from various locations and by multiple users at the same time. Employees who work at more than one location can be scheduled by the same or different managers. Each shift displays their location, time, and position details.

Does iSchedule automatically send e-mail notices to my employees when a schedule is created or adjusted?

Yes, once employees enter their e-mail addresses into their profile, e-mails are forwarded as soon as a schedule is posted to the system.

Can my employees see the entire schedule online?

Yes, there are a number of views available. They can see their own or the entire schedule by day, week or other periods.

How many managers or users can have access to the system?

There is no limit to the amount of users that can access the system. Fees are based on how many employees are being scheduled, so if more managers or other non-scheduled staff need to use the system, costs do not increase.

How do upgrades work?

Because iSchedule is web-based, all improvements or upgrades are posted to the system behind the scenes. We will tell you about improvements and you will always be working with the latest and greatest version of iSchedule.

How much does iSchedule cost?

iSchedule is a pay-as-you-go service with no long-term contracts, sign-up fees or termination fees and you can cancel at any time. Your first month of iSchedule is free and subsequent months will be billed based upon your prior month's usage and you can cancel your account at any time. Prices are based on the average number of scheduled employees per month and there is no penalty for high turnover rates.

Are your prices fixed per-month or are they per-user?

There are no additional per-user charges - the price is the same no matter if one person or 100 people are using your account. The more people who use iSchedule in your organization the better.

Is this a long-term commitment? Can we pay a year in advance?

iSchedule is a pay-as-you-go service and is billed monthly. There are no long-term contracts or commitments on your part and you can cancel anytime.

What types of payment do you accept?

Currently we accept Visa, MasterCard and American Express. At this time we only accept payments online so we will not be able to accept a purchase order or invoice you.
